AI quoting and estimating intelligence

In most businesses that quote for work, the revenue ceiling is not capacity to deliver, it is the number of quotes the business can turn around, and the margin decided in the minutes each one is priced. We build quoting intelligence that prices new work from what comparable work actually cost you, drafted for a person to check and send, with your pricing history kept on hardware you own.

The quote queue is the revenue ceiling

Every request that sits in the queue is a chance to win work, decaying. The estimator is buried, so quotes go out late, or padded for safety, or priced from a spreadsheet that was last honest two years ago. Meanwhile the business's real pricing knowledge, what the last fifty comparable jobs actually cost, which ones made money and which quietly did not, sits scattered across old quotes, job cards and one experienced head.

Margin is decided at the moment of pricing, before any work begins. A quote priced on gut feel gives that decision away. A quote priced from your actuals keeps it.

What we build

Every build sits on a private knowledge layer holding your quotes, actuals, drawings, correspondence and win history. On top of it:

  • Requests read and understood. The request for quote, tender package or brief is parsed, drawings, specifications, vague emails, and what is actually being asked for is identified.
  • Priced from your record. The system retrieves what comparable jobs genuinely took, hours, materials, subcontract costs, surprises, and drafts a priced estimate from evidence rather than optimism.
  • Margin analysis attached. Each draft carries the margin picture and flags when a price sits well outside your history in either direction, the underpriced trap and the overpriced miss both.
  • Learning from wins and losses. Outcomes feed back into the layer, so the pricing evidence gets sharper with every quote that goes out.
  • Your estimator decides. Every quote is checked, adjusted and approved by a person before it leaves. The system multiplies the estimator, it does not replace them.
  • Every quote tracked. What went out, at what price, to whom, and what came back, one thread instead of a folder of PDFs.

The same operation gets more quotes out the door, priced with evidence, which is more chances to win at a margin that survives delivery.

Where it bites hardest

Quoting intelligence is one of the highest-payback builds for manufacturers turning around requests for quote, contractors pricing tenders and variations, and creative businesses scoping projects from what past work actually took. In every case the pricing history is among the most commercially sensitive information the business holds, which is why the build is self-hosted: your rates, costs and win history never leave your own network.

Example workflow: a request, priced by the afternoon

How a quote stops taking three days and starts taking hours, with margin attached.

1

Request arrives

An RFQ, tender or brief lands, drawings, specs, sometimes just a vague email.

2

Requirements parsed

The system reads it and identifies what is actually being asked for.

3

Actuals retrieved

Comparable jobs are pulled from your history: what they cost, what surprised you, what you charged.

4

Draft quote with margin picture

A consistent draft is produced with the margin analysis alongside, flagged if it sits outside your history.

5

Estimator approves and sends

Your estimator checks, adjusts, approves. The quote goes out and is tracked to a win or a lesson.
